Job Summary:

Hilco Valuation Services is seeking an Office Manager with excellent organization skills and a personal disposition to assist the Northbrook office with necessary office coordination activities.  The ideal candidate will be a strong and reliable support to company operations, establishing and maintaining procedures, and communication.

Office Coordinator Responsibilities:

  • Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, and overseeing supplies and equipment
  • Provide direct administrative supports as needed, including preparation for in-person and virtual meetings, organizing, and updating filing database system, printing/binding presentations and materials as needed, mailing and shipping packages
  • Manage, identify, and fulfill inventory for all office and kitchen supplies
  • Work closely with administrative team to manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested
  • Contact relevant personnel for troubleshooting issues related to IT
  • Handle resource reservations, service requests and visitors through property management website (conference room reservations, building passes, adding visitors to security list)
  • Assist in logistics and coordination of in-house or off-site activities, meetings, and conferences
  • Organize, track, and submit expenses for office orders and purchases monthly
  • Answer phones and route calls to the correct person or take messages
  • Oversee and ensure a personal, friendly experience for anyone coming into the office
  • Assist with miscellaneous special projects or duties
  • Manage relationships with office vendors, service providers and building management


  • Self-starter professional, fast learner who can contribute immediately in a high-volume environment
  • Diligent, detail-oriented office manager knowledgeable of all office functions
  • Excellent customer service, telephone and computer skills with strong proficiency in MS Word, MS Excel, Outlook, and PowerPoint super user
  • Strong time-management and problem-solving skills, flexibility, and multitasking ability
  • Methodical, organized, and determined


  • Bachelor’s Degree
  • Minimum of 2-3 years proven office administration experience
